CareerOS X Zoom — User Guide
This guide explains how to add the CareerOS app to your Zoom account, how to use it inside CareerOS, and how to remove it. It is intended for event hosts on CareerOS: career-services staff (advisors), ambassadors, alumni, and employer users. App name: CareerOS. Publisher: CareerOS (thecareeros.com). What the integration does
Connecting your Zoom account to CareerOS lets you host and manage Zoom-powered live events directly inside the CareerOS platform:
- Host live events — CareerOS events with a Zoom meeting attached are joined from the event page. The meeting opens in a dedicated CareerOS meeting tab using Zoom's embedded meeting experience; hosts join with the host role, and attendees join as participants without needing their own Zoom account.
- Publish recordings — after the event ends, you can publish the meeting's Zoom cloud recording from the event's Zoom tab so students and advisors can watch it in CareerOS.
- Review polls — poll results from the meeting are available on the event's Zoom tab and can be exported.
The integration is user-level: each event host connects their own Zoom account. Connecting your account never affects other users at your organization.
Prerequisites
To use the integration you need:
- A CareerOS account that can host events: an advisor, ambassador, or alumni account on app.thecareeros.com, or an employer account on employer.thecareeros.com. Student accounts cannot connect Zoom.
- A Zoom account. Publishing cloud recordings requires a Zoom plan that includes cloud recording.
Adding the app
Advisors, ambassadors, and alumni:
- Sign in to CareerOS at app.thecareeros.com.
- Open your Profile page from the sidebar.
- Find the Zoom section and click Link Zoom.
- You are redirected to Zoom's authorization page (zoom.us). Sign in to Zoom if prompted.
- Review the requested permissions and click Allow.
- You are redirected back to CareerOS. The Zoom section on your Profile page now shows Connected as your Zoom email.
Employers:
- Sign in at employer.thecareeros.com.
- Open your Profile page.
- In the Zoom section, click Connect Zoom.
- You are redirected to Zoom's authorization page (zoom.us). Sign in to Zoom if prompted.
- Review the requested permissions and click Allow.
- You are redirected back to CareerOS. The Zoom section on your Profile page now shows Connected as your Zoom email.
That's it — no further setup is needed. CareerOS stores your Zoom authorization securely (tokens are encrypted at rest) and uses it only for the features described in this guide. If the authorization fails or is cancelled, you are returned to CareerOS and can retry from your Profile page.
Note: cloud recordings may take some time to appear after the meeting ends while Zoom processes them.
Using the app
Joining a live event:
- Create or open a CareerOS event that has a Zoom meeting link attached.
- When the event is live, open the event page and go to the Live Event tab.
- Click Join meeting. The meeting opens in a new browser tab, embedded in CareerOS.
- If you are the event's host and your Zoom account is connected, you join with the host role. Attendees who click Join meeting join as participants — they don't need their own Zoom account.
Managing recordings and polls: once a Zoom event has ended, a Zoom tab appears on the event page for hosts. It has two sections:
- Recording — publish the meeting's Zoom cloud recording so students and advisors can watch it in CareerOS. If the meeting was recorded locally instead, upload the video/audio file. A published recording can also be removed here.
- Polls — review the results of polls you ran during the meeting, per question and per poll, and export them.
Removing the app
Disconnect at any time from CareerOS:
- Sign in to CareerOS and open your Profile page.
- In the Zoom section, click Unlink Zoom (advisors, ambassadors, alumni) or Disconnect (employers).
- CareerOS revokes its authorization with Zoom and permanently deletes your stored Zoom tokens.
After removal:
- CareerOS can no longer act on your Zoom account in any way.
- All stored Zoom credentials (access and refresh tokens) for your account are permanently deleted.
- Your CareerOS account and events are unaffected. Recordings you already published remain available in CareerOS, and Zoom-side data (recordings, reports) remains governed by your Zoom account settings.
- You can reconnect at any time by following the Adding the app steps again.
Troubleshooting
- Link Zoom / Connect Zoom button missing — only event-host accounts (advisor, ambassador, alumni, employer) can connect Zoom. Contact your CareerOS admin if you believe you should have access.
- Authorization fails or loops — make sure you are signed in to the correct Zoom account, then retry from your Profile page.
- Joined as participant instead of host — confirm your Profile page shows your Zoom account as connected, and that the connected Zoom account is the meeting's host.
- Zoom tab missing on the event — the tab appears only to the event's host, only after the event has ended, and only for events with a Zoom meeting link.
- No cloud recording to publish — the meeting must be recorded to the Zoom cloud by the connected host account, and Zoom may take some time to process it. Locally recorded meetings can be uploaded as a file instead.
- Poll results missing — poll reports are available only for meetings hosted by the connected Zoom account, after the meeting has ended.

Data & privacy
- CareerOS requests only the Zoom permissions needed for the features above.
- OAuth tokens are stored encrypted (AES-256) and are never shared with third parties.
- Unlinking Zoom from your CareerOS profile permanently deletes your stored Zoom credentials.
